Privacy policy
This policy explains how Pro Trax (www.pro-trax.com), the internal field training tracker of Pro EMS Solutions, Inc. ("Pro EMS"), handles personal information. Pro Trax is used only by Pro EMS staff and trainees.
What Pro Trax holds
- Account details: name, work email, role, and, if you choose, a mobile number for shift texts, with the date and time you agreed to receive them.
- Training records: phase progress, checklist sign-offs, daily observation reports, notes, and trainee acknowledgments.
- Shift texts: the messages Pro Trax sends and the replies it receives, kept with the observation report they belong to.
Pro Trax is not a medical record. Patient names and details must never be entered.
How it is used
Only to run the Pro EMS Field Training and Evaluation Program: tracking trainee progress, collecting observations from field training officers, and sending the shift texts an FTO asked for. Mobile numbers are used only to send Pro Trax shift texts and to match replies to the right report.
Mobile numbers and text messaging
- No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.
- Text messaging originator opt-in data and consent will not be shared with any third parties.
- You can stop texts at any time by replying
STOP, or remove your number in Pro Trax. See the terms for the full text messaging program.
Service providers
Pro Trax relies on a few providers that process information only on behalf of Pro EMS and only to run Pro Trax:
- Supabase: database and sign-in.
- Vercel and Cloudflare: hosting.
- Twilio: sending and receiving text messages.
- Resend: invitation and password-reset emails.
- Anthropic (Claude): writing training summaries for staff, and filing text replies under the right report question.
Pro EMS does not sell personal information.
Who can see what
Access follows your role. Administrators and field training officers see training records for the program. A trainee sees only their own file and only reports that have been signed. Private comments a trainee sends to administrators are not visible to FTOs.
Keeping and removing information
Training records are kept as part of Pro EMS training files under Pro EMS record-keeping policies. To correct your information, remove your mobile number, or ask about your record, contact the program below.
